Data Protection Statement

Pursuant to Article 13 Parag. 1 and 2 of the EU General Data Protection Regulation (GDPR), you are hereby informed about what data about you we collect and process during your use of our Internet services.

3. LOGGING THE USE OF OUR WEBSITES

The purpose of our websites is both to provide general information and (in part) to deal with administrative matters without you having to appear on our administrative premises in person. If you merely want to obtain information and you don’t enter any personal data in the fields on the form, then during your use of the website we will collect the following technical information:

  • Date and time of access
  • Accessed sub-websites and files
  • Access status of the web server (success or error messages) 
  • Type and version of the browser used by the user
  • Type and version of the operating system used by the user
  • Device type (smartphone, desktop PC, tablet etc.)
  • IP address
  • Region (State – Bundesland in the case of Germany)
  • Length of stay
  • Referrer (the previous website, from which the user came to us)

This data shall be collected for the purpose of maintaining the functionality of the website, as well as for statistical evaluation, and if necessary it will be evaluated for the purpose of internal troubleshooting. The data will be saved for 7 days and then automatically deleted. In the event that our website gets attacked, the relevant log data shall be forwarded to the competent law enforcement agencies.

4. USE OF THE CONTACT FORM

Use of our contact form is voluntary. Communication via the contact form is unencrypted and this means that it is not categorised as confidential.

Communication via the contact form is not legally binding. With this, when submitting requests, documents or declarations of intent, please appear in our administration premises personally or use our eGovernment services or post. 

To be able to send a message via our contact form, you must include the following information:

  • Title (Mrs. or Mr.)
  • Surname; first names optional
  • Optional email address if you want a response to your request without having to provide personal information
  • Optional postal address if you want a response to your request while being happy to provide personal information
  • Description of your request

We need this data to process your request. The data will not be linked to other information, and it will be deleted after processing.

5. GENERAL INFORMATION ON DATA PROCESSING IN THE MUNICIPALITY OF SÜDERHOLZ

As part of the execution of our tasks, we will process your personal data solely for purposes resulting from a legal norm and for which we are obliged or entitled (Art. 6 Parag. 1 c) and e) GDPR in conjunction with e.g. the Federal Registration Act). Additionally, we may process personal data on the basis of a declaration of consent submitted by you (Art. 6 Parag. 1 a), Art. 7 f. GDPR). In certain cases we will be legally authorised or obliged to transfer personal data to third parties (e.g. to other authoritative bodies, and in individual cases even to other private persons). Any such transfer may take place on the basis of legal powers of transmission or of consent. We will save your personal data for as long as is necessary for the fulfillment of our tasks. After this it will be deleted / destroyed within a reasonable period and in compliance with legal retention periods. A longer storage period is permissible for archiving purposes. 

We will use the postal address and email addresses that you refer to us as part of an inquiry or an information request, solely for the purpose of distribution / correspondence with you. Personal data shall not be forwarded to third parties. 

If you want to send us an email with content worth protecting, we strongly recommend encrypting it, to prevent unauthorised access and falsification at any point along the transmission path. Alternatively, you can also contact us by post or visit us in person on local government premises.

6. RIGHTS OF AFFECTED PERSONS REGARDING DATA PROCESSING

With regard to the processing of personal data about you, you always have the following rights pursuant to Art. 15 ff. GDPR:

  • To receive information on personal data about you that is saved with us or our request processors,
  • To demand corrections to saved personal data about you in the event that you find it to be incorrect,
  • To demand the deletion of saved personal data about you should it no longer be required for the fulfillment of our tasks, you revoke your consent for its processing, or processing of it neither had a legal basis nor was it subject to your own consent,
  • To demand restrictions with the processing of your data in the event that the correctness of it, or the legal validity of such processing, needs to be verified,
  • To allow for the transfer of your personal data to another data processing agency, provided that such data processing is based on your consent or on a valid binding contract and there are no legal regulations precluding the same,
  • To object to processing of your personal data provided that this is not precluded by any legal regulations.

If any existing data processing is based on your consent, you can revoke it at any time, without this affecting the lawfulness of the consented processing that took place up until the point of such a revocation.
